7. Certificate Verification
Rosetech Academy issues certificates to participants who complete its programmes. To allow employers, organisations and members of the public to confirm that a certificate is genuine, we maintain a certificate-verification record for each certificate we issue.
What we store. For each issued certificate we store the participant’s full name, the certificate number, the course title and code, the cohort, the completion and issue dates, the issuing division and company, and the credential’s current status (valid, revoked, pending or archived). We also keep an internal note field and an audit history of administrative status changes. These internal records are not shown publicly.
Why we process it. We process certificate information to issue and administer certificates, to operate the public verification service, to prevent fraudulent or altered certificates, to maintain an accurate issuance and audit record, and to respond to verification enquiries.
What appears publicly. A verification page displays only the participant’s public display name, the course title, the cohort, the completion date, the certificate number, the issuing division and company, the issuing country, the credential status and the date the credential was last verified. We never publish email addresses, telephone numbers, postal addresses, payment details, attendance records, assessment scores or internal notes. A certificate is shown publicly only where the participant has confirmed public-display consent, the credential has been published by Rosetech Academy, and its status is valid. Where consent has not been confirmed, no participant information is revealed. Revoked credentials display only the certificate number, course title, issue date, current status and any approved public statement.
Secure links. Each certificate carries a QR code that links to its verification page using a long, randomly generated, non-sequential link. These links do not contain the participant’s personal details, and they cannot be guessed or browsed in sequence. Individual verification pages are excluded from search-engine indexing so that they do not form a public directory of graduates. Public verification requests are rate-limited.
Requesting a correction. If any information shown on a certificate or verification page is inaccurate, the participant (or the issuing organisation) may contact us using the details in section 8 and we will review and correct the record where appropriate.
Withdrawing public-display consent. A participant may withdraw public-display consent at any time by contacting us using the details in section 8. Once withdrawn, the certificate immediately stops appearing on the public verification page and no participant information is revealed publicly.
Withdrawal does not erase the issuance record. Withdrawing public-display consent removes the certificate from public view but does not delete the internal issuance and audit record. We retain that record so we can confirm that a certificate was genuinely issued, prevent fraud, and meet our administrative and record-keeping obligations. Revoked and archived certificates are also retained rather than deleted.
